Yes, if you are using Microsoft Access 2007 or later.

 

When you preview an account or other document, click the <PDF> button on the toolbar at the top. This will enable you to save the document in PDF format. Unlike saving to Word, this facility reliably preserves the formatting of the document.

 

Also, when you print accounts and letters, you can automatically save snapshots as PDF files. Set this up in the Options form > File Management page.

 

If you have Access 2007 or later and you can't view or create PDF files, you should install the free 'Save to PDF' add on from Microsoft. There is a link to this on our other software page.

 

If you are using Access 2003 or earlier, you can use third party software to create PDF files. Adobe Acrobat is the standard retail program for creating PDF files. There is also free software available which allow you to install a PDF printer driver. Then you simply change the printer to the PDF printer to create a pdf file. We use Primo PDF, but there are many others, e.g. PDF995 or search Google for free pdf printer.
