CHANGES TO SUBSCRIPTION RENEWAL PROCESS
• | Following the merger of Access Anaesthetics with Hybrid Software, AA will no longer generate subscription renewal invoices. Instead, these will be emailed from Hybrid. |
• | The Subscription Invoice button on Maintenance Menu has been removed, and the built-in invoice system disabled. |
• | For group practices (but not single users or unregistered), AA will send subscription data to AA Support approx 40 days before subscription renewal is due (can also be sent manually from Maintenance Log). |
• | AA will prompt the user at 30 days, indicating that a subscription invoice has been emailed. If an online Xero invoice link exists, AA will show the option to pay online. A red prompt appears at 7 days. |
• | AA will update the subscription information automatically within 30 days, and will hide the prompt when paid. |
• | Clicking the renewal date on the Main Menu provides options to either update subscription information from the website or to view the last Xero invoice/receipt. |
• | Adjusted all email references to sales@ or support@access-anaesthetics.com.au addresses. |
• | Created global variables for email and web addresses. Adjusted all web addresses to www.access-anaesthetics.com.au, and if this doesn't work, AA will use backup URL of www.healthbase.com.au. |
• | Changed all Healthbase references to Hybrid Software or Access Anaesthetics Support. |
• | Modified HBSimpleEmailData.mdb to increase size of UserPwd field from 20 to 100 characters. |
ECLIPSE
• | Updated list of Presenting Illness Item Codes from Medicare, for Online Eligibility Checking. |
• | Updated Medicare Lodgement Advice and Statement of Claim and Benefit with new Medicare note - THIS FORM CANNOT BE USED TO MAKE A CLAIM FOR MEDICARE PAYMENTS. THIS CLAIM HAS ALREADY BEEN SUBMITTED TO MEDICARE ON YOUR BEHALF. |
• | Added a button to the service text editing window to display and edit the service text of all items together. Double click on the service text field to reopen the single-item editing window. |
• | While the regular service text window is open, clicking on a different item will display the service text for that item in the window. Previously, the service text window had to be closed between items. |
• | New keyboard shortcuts created to open Eclipse claim dialogs IMC-Alt I, BB-Alt B, DVA-Alt D, OVS-Alt V, OEC-Alt O, with existing OPV-Alt E. Shortcut keys are underlined on the respective buttons. Keys can be used from any tab page. |
• | Adjusted Eclipse dialogs to have the <Next> button as the default to allow the user to use the keyboard to process claims more easily. |
• | Adjusted DVA data check to allow Specialist Service without referral or referral override, if all services have an SD code. This allows sending e.g. 55054 on its own. |
• | Add an account number reference to BB/DVA payment report message if duplicated payment found. |
MISCELLANEOUS
• | Added an option to display item numbers on the List of Accounts > Print this list report. |
• | Added a button to search accounts for a specific email address. |
• | Added keyboard shortcut ALT 2, to go to Email address field and copy contents to clipboard. |
• | When saving PDFs of multiple reports, the user has the option to save into a single folder, rather than individual doctor's folders. |
• | Added 2 additional 'Drs Extras' fields to the Options. |
• | Added default number of copies to print for bank deposit slip (Options > Banking). |
• | Added a search button to the bad debtors list. |
• | Added GST to payments showing on printed accounts, where appropriate. |
• | Added the number of patients seen to account printouts for multiple attendance items. |
• | If an account has no Medicare number, the expected rebates are not shown. |
• | Adjusted the warning for large PDF file size from 200 to 250kb to avoid unnecessary warnings. |
• | Removed unfinished reminder scheme fields from the Status page. |
• | Modify provider number validation routine to allow new format for WA CMP provider numbers, 12 char incl hyphens. When present the provider number is shown as 'CMP Provider Number' accounts. |
• | Prevent user creating an account with the Account number of 1. Modify search function to go to account number 1 if it exists. |
• | When a provider number is first entered into a data file (Options) it is added automatically to the lookup table. If it is not the first in the table, a prompt is given. |
• | When changing to the Payments tab, the payment table first receives the focus. This should reduce the need for using mouse clicks to enter a payment. |
BUG FIXES
• | Fixed bug where item M3 was not being included in the after hours emergency calculation for WAG accounts. |
• | Fixed bug where deleting a banked batch payment failed because there is no Tag field in the PaymentsDeletedT table. |
• | Fixed bug in the Group Practice Payment Summary if any of the payment types were preceded by a space, e.g. ' Refund'. This prevented the <All types> function working. |
• | Fixed bug where printing 'AA - Invoice style' letter to printer gave error that template was missing. |
• | If an account type has no default message set, e.g. WAG, the message for the previous account type was retained. Adjusted this so that the previous message is removed if there is no saved message matching the account type. |
• | Modified search functions (and moving between data entry and list screens) to avoid 'out of memory' errors. |
• | Fixed bug Cancel or CancelUpdate before AddNew or Edit in early version 9.0. Due to saving record issues after modifying search functions in version 9. |
• | Fixed bug where copying an RVG account, then changing the op date, would not prompt to update the item dates. |

Version 9.1 - 2 July 2019
MISC UPDATES
• | Added a flag in Options > Print Format (bottom right), to allow a MyOwn estimate to use the Medicare schedule fee as the rebate by default. Currently the default it for the gapcover fee to be shown as the rebate when the MyOwn fee is selected. (NSA) |
• | For anaes assistance items 25200 & 25205, set the Eclipse data check to bypass the normal RVG item checks when using a derived fee item. When creating a derived fee for anaesthesia assistance, AA inserts other relevant item numbers into service text when the derived fee is created. |
• | Adjust silent practice data email to go to sales@access-anaesthetics.com.au |
BUGS FIXED
• | Fixed Update or CancelUpdate error (again), due to moving between screens without saving. |
• | Fixed bug where Bupa Practice ID appeared if account being sent to patient. Also included a box around the Bupa ID for emphasis. |
• | Fixed focus error when saving multiple reports to PDF, that caused infinite loop. |
• | Updating the version of the simple email database did not work if there was previously no version number. This could potentially prevent AA opening, with an infinite loop looking for the version number. |
