Copying patient address details from another account

Access Anaesthetics is designed so that one anaesthetic service is described on one account and each new anaesthetic service requires creation of a new account, even if the patient has already been entered into your system on a previous occasion. If you regularly anaesthetise the same patient, you can copy their details from a previous account by selecting from the list on the bottom of the Patient Addr page.

The list shows all accounts where the first name and surname match those entered into the current account. For example, if you create a new account and enter the name Mr Bill Smith, the lookup list will show all accounts for anyone called Bill Smith. If you can't find the appropriate patient, delete 'Bill' from the first name field and the list will show all patients with the surname Smith. Maybe then you will find an account for a Mr William Smith, who is the correct patient. You can do the same with the first name. That is, enter Bill into the first name field, leave the surname blank, and the list will show all people whose first name is Bill.

 

To assist in finding the correct patient, highlighting a row in the list displays that account's address, surgeon, operation and status in the status bar at the bottom of the page. When you find the appropriate patient, click the Copy from button and the address details will be inserted into the current account. This will also insert the third party address if it exists in the source account.

 

Note that the list may contain patients with identical names who are not the same person. Also, if the spelling of a name has been changed (e.g. Lesley vs Leslie) or an alias used (e.g. Bill vs William) you may fail to locate a patient who has in fact appeared on a previous account. The separate Find button may help to locate a patient with a slightly different name, as it will find all patients whose name contains a specified set of characters. For example, entering Lesl into the Find dialog box, will find patients called Lesley or Leslie.

 

Once an account has been printed, this copying function is disabled to safeguard against inadvertent or accidental modifications of name and address data.
