Doctor's file is missing

Sometimes a data file in a group practice can appear to go missing. If this happens, the first thing to do is to refresh the list of providers.

 

Click the <Refresh drs list> button on the

bottom right of the Select Provider window.

 

If this doesn't work, click the <Find missing Dr> button and follow the prompts.

 

The list of providers is a separate table that is populated once a day, or when you do things like add a new doctor or rename a doctor. Occasionally the list of doctors gets out of sync with the actual provider files on the system. Clicking the <Refresh drs list> button recreates the list by searching the data location for all existing doctors files. So, if a doctor is missing, this is the first thing to try. This is different to the Maintenance > Refresh function, which deletes and recreates the attachments between the program file and the current doctors file.

 

If this doesn't find the missing doctor, open the folder that contains the data files and see if you can find the missing file. The files are named with the doctor's name and the extension.aau, e.g. DrGoneFishing.aau. You may find a file named DrGoneFishing.tmp. If so, rename the file by changing the extension from .tmp to .aau. Then, back in AA, refresh the doctor's list again and the doctor's file should reappear. Open the file to check that it is intact, then it is a good idea to compact the file (Maintenance> Compact) to ensure it is in good condition.

 

The existance of a .tmp file indicates that there was a problem completing an automatic backup. This happens occasionally and is not a cause for concern unless it happens frequently, or repeatedly with the same doctor.
