NEW SYSTEM TO MANAGE ACCOUNT FOLLOWUP
A new system to manage account followup is in development, but is not yet complete. Consequently it has been disabled in the current version of AA, except that some of the fields and screens have been left visible for clients to get a basic idea of how it will work. We would be interested in any feedback you have on the proposed changes.
• | Each account may now be allocated to a specific user-defined followup scheme. The scheme determines when an account is due for a reminder, phone call, SMS and so on. |
• | An individual account can be assigned to any followup scheme by selecting from the drop-down list on the Status tab. A separate followup scheme can be selected for standard invoices and co-payment invoices. |
• | New followup schemes can be created by selecting 'Edit schemes' from the Followup scheme drop-down list, either on the Status page of an individual account, or in Options > Payment instructions > Edit. |
• | Multiple different followup schemes can be created. The 'Default' followup scheme is one that has been created according to standard reminder preferences, that are shown in Options > Reminders. This may or may not be suitable for you. |
• | Default followup schemes can be set up for specific account types by adding the followup scheme to the payment instructions in use for specific account types. |
• | An account is assigned to a followup scheme according to the type of fee that is used. Each fee type is linked to a specific payment instruction, and each payment instruction can be associated with a specific followup scheme. So, for example, a MyOwn account may be linked to a different followup scheme to a no-gap or SF (Schedule Fee) account. |
• | To choose which followup scheme a particular account type should use, go to Options > Payment instructions > Edit, and select the followup scheme from the list for each different type of payment instruction. |
• | After choosing a followup scheme, each account should be assigned to a stage in the scheme by clicking on one of the options in the list on the Status tab. This will be done automatically if the scheme has been selected automatically from the payment instructions link. |
• | When an account is printed, or a specified time has elapsed, the stage that an account has reached will be updated according to the scheme setup. The next step due will be displayed and the date due will be inserted. |
• | In the List of Accounts, accounts that are at a specific followup stage can easily be located using the Select > Followup options. (Not yet built in!) |
• | When an account is printed, its Followup stage is incremented appropriately according to the scheme selected. (Not yet built in!) |
• | When a specified time period lapses, the account will appear in a list of matching accounts that are due for the specific followup task. (Not yet built in!) |
