How do I archive retired or obsolete doctors files?

For multi-provider practices, when doctors retire, or otherwise leave the practice, you may wish to remove their name from the provider selection list. The following method explains how to do this, while still retaining the data should you wish to review it at a later date.

 

1.Go to the Windows folder that contains the data files. The simplest way to find this is to go to the Access Anaesthetics Main Menu, and select Explore data folder from the Tools menu. The files will be named with the doctors name, and the extension .aau. On a single PC this will usually be C:\Access Anaesthetics. For a group practice with a computer network, this may be a server location such as \\SVR\AADataFiles, or a mapped drive such as X:\AADatafiles.
2.If you haven't already, create a subfolder inside this folder, named ObsoleteDataFiles, RetiredDoctors, or something similar.
3.Drag the obsolete doctors files from the main folder to the archive folder. You will not be able to move a file that is currently open in AA.
4.Close the Explorer window and go back to AA.
5.Click <Select another provider>, then click <Refresh Drs List>. The obsolete files should no longer appear.

 

To restore an obsolete file for viewing, use the same process, except that in step 3, you should drag the file from the obsolete folder back to the main AA folder.
