Extension of Eclipse Certificates

As Medicare has advised over the last few years, the Client Adaptor (CA) which manages all the electronic claiming in Access Anaesthetics is being superseded by ‘Web Services’ technology. AA uses the Client Adaptor and will not incorporate the new web services technology. Cutting Edge Software (CE) has been redesigned and accredited to use the web services technology for online claiming. 

 

The migration of AA clients to the new CE software is expected to be completed in the coming months. The PKI site certificates that AA uses to authorise electronic claiming were originally due to expire in March 2022. We have negotiated with Medicare to have these expiry dates extended to at least 30 June 2022 so that AA clients will have continuity of service during the transition phase.

 

Many AA sites have already had their PKI certificates extended automatically by Medicare while others have installed updates from CDs. We have released a new program update that checks the certificate expiry date when AA is launched. We advise you to install this now if you are using online claiming. Your current certificate expiry date will be shown on the lower right of the Eclipse Menu in AA. When your certificate is extended, the date should appear as 23/06/2024. To manually check the expiry date, go to Eclipse Menu > Setup > Test > Test. Please contact us if your certificate has not been updated by the first week of March.

Migration To Cutting Edge Software

The migration of AA clients to the new CE software is expected to be completed in the coming months. As previously advised we will migrate your AA setup to Cutting Edge, beginning with smaller sites. All your provider and site details will be migrated, and optionally we can import all or some of your patient data if required. To facilitate this, the latest version of AA has a menu option that will send your practice details to us in a password protected email. This is accessed from Maintenance Menu > Cutting Edge migration data. We will contact you in due course to request this data so we can set up a new account for you in Cutting Edge and will provide further instructions as the rollout proceeds.

March Medicare Update

           Changes to Medicare requirements beginning in March require that the start and finish times for anaesthetic procedures be documented in writing. We have adjusted AA to automatically send start and finish times in the Eclipse service text where appropriate, and the standard data check will alert users where the times are missing. 

           There is a new anaesthetic base item for revision total hip replacement – 21215 – 15 units.

Program Update Version 10.15

The latest version of the AA program is 10.2. The main changes are listed below, with full details given on our What’s New page

 

           The PKI Certificate expiry date is automatically checked when AA is launched.

           A new menu option allows clients to transmit migration data to Access Anaesthetic support (Maintenance Menu > Cutting Edge migration data).

           The data check will warn of missing start and stop times. Claims and printing are still allowed if times are missing.

           Start and stop times are automatically entered into Eclipse service text for the anaesthetic time item.

Miscellaneous fund reminders

           From January, St Lukes will allow a co-payment of $500 per claim, where previously this was limited to 10% of the St Lukes fee. 

           RT Health and Transport have been purchased by HCF. Previously they were part of the AHSA scheme. Fee schedules in AA should be adjusted to use the HCF schedule. For details on this, please see this FAQ.

           ING Health became a part of NIB from 11 October 2021, as described here.

           From December 2021, BUPA’s state-based fee schedules changed to a national system using separate No Gap and Known Gap schedules.  AA has been modified to manage this process. Full details are given in this FAQ.

           The maximum ASA RVG unit value from November 2021 is $91.

Possible bug in latest version of Microsoft Access (2016+ or 365)

In the last few days, some AA clients have encountered an error ‘Cannot create any more databases’. This appears to be a bug in the latest version of Microsoft Access. It appears that a fix was released by Microsoft on 8 Feb, so if this has affected you, please install any available Windows/Office updates. Clients using Access 2003-2013 shouldn’t be affected.
